Hotel Event Florals for Banquet & Catering Teams

One floral partner a luxury property can hand to every client who books the ballroom.

CHIC Flowers designs and installs event florals for the banquet and catering departments of luxury hotels and resorts across San Diego, Los Angeles, and Orange County — ballroom galas, conferences, VIP dinners, the weddings a property books, and its seasonal holiday program. We arrive through the dock on the window your banquet team sets, build to a consistent design standard your sales managers can show clients, and strike the same night so the room turns on schedule.

What a hotel gets from one floral partner

Catering and conference-services teams juggle dozens of outside vendors a month. A single floral partner who already knows the property's dock hours, freight elevator, ballroom dimensions, and house linens removes one variable from every event. We keep a property file for each hotel we work with — room layouts, preferred load-in routes, the banquet captain's contact — so the second event runs on rails.

We are set up to work as a preferred vendor: current certificate of insurance with the property named as additional insured, W-9 on file, and a pricing sheet your sales team can quote from without calling us first. For brunches, holiday parties, and activations we also run staffed build-your-own flower bars, and our designers lead hands-on floral workshops for corporate groups and incentive programs.

Ballroom galas, conferences, and VIP dinners

For a ballroom gala we design the stage or step-and-repeat moment, centerpieces at the heights that keep sightlines open for the program, and the entry or foyer piece guests photograph. For conferences we scale down: registration-desk arrangements, a statement piece at the general-session stage, low florals on breakout and boardroom tables, and refreshes for multi-day programs.

VIP and chef's-table dinners call for restraint — long low runners, bud vases in the hotel's own vessels where the property prefers, and candlelight within the fire marshal's rules, which we confirm with the property before we quote.

Weddings the property books

When a couple books your ballroom and asks for a florist, we can be the name on the list. We design ceremony structures, chuppahs, mandaps, and reception florals on structures we own, so there is no rental middleman, and we coordinate directly with your wedding sales manager on timing. Properties such as the Fairmont Grand Del Mar, Hotel del Coronado, Montage Laguna Beach, and the Beverly Wilshire are the scale of hotel we serve.

Load-in, strike, and the room turn

We load in through the dock on the window your team sets, with a crew sized to the install — a 25-plus person studio lets us put eight designers in a ballroom for a two-hour window when that is what the schedule allows. Strike begins when the last guest leaves and finishes the same night unless the property asks otherwise, with the room swept and rentals pulled, so a morning breakfast can set on time.

Repeat-program pricing

Hotels that book us across the year — a holiday program, quarterly galas, a standing lobby arrangement — get program pricing rather than one-off quotes, with a design-fee structure that rewards repeat events. Share the property, the events on your calendar, and the rooms involved, and we'll outline scope and a program range. Alona reviews every inquiry personally and responds within one business day; the consultation is complimentary.

Frequently asked questions

Can you be added to our hotel's preferred-vendor list?+
Yes. We carry the certificate of insurance and additional-insured endorsement most properties require, keep a W-9 on file, and can supply a pricing sheet your sales managers can quote from.
How much lead time do you need for a ballroom event?+
Four to six weeks is comfortable for a gala or conference; we can move faster for repeat properties where the room file already exists. Holiday-season dates book earliest.
Do you strike the same night?+
Yes, by default. Strike starts when the last guest leaves and we clear florals, structures, and rentals so the room can turn for a morning function. We adjust if the property prefers a morning strike.
Can you work with our fire marshal's rules on candles?+
Yes. We confirm the property's open-flame and candle rules before quoting and design with enclosed, LED, or approved candles as required.
Do you offer pricing for a full year of events?+
Yes. Properties that book several events a year get program pricing and a single point of contact rather than separate one-off quotes.
