Gala and Awards Dinner Florals

Ballroom florals for fundraising galas, awards nights, and nonprofit dinners at Southern California's luxury hotels.

CHIC Flowers designs florals for fundraising galas, awards dinners, and nonprofit events in hotel ballrooms across San Diego, Los Angeles, and Orange County. A gala scope runs from the entrance and cocktail reception to centerpieces for three hundred to eight hundred guests, the stage and podium, and the silent-auction and step-and-repeat areas. We design for sightlines, candlelight within the property's fire rules, and the budget realities of an organization that must account for every dollar.

Entrance and cocktail reception

Guests form their opinion of the evening in the foyer. An entrance installation, a pair of statement urns, or a floral treatment of the step-and-repeat sets the tone, and a scaled-down version carries into the cocktail reception on high-tops and bars. For galas with a theme or a cause color, the palette is introduced here and sustained through the ballroom.

Centerpieces for a full ballroom

A ballroom with sixty to eighty rounds needs a centerpiece program, not a single design. We mix heights so guests can see the stage and each other, typically alternating elevated pieces on slender stands with low, lush arrangements, and we reserve the richest designs for sponsor and head tables. Candlelight is designed within the property's fire rules, with enclosed flame or LED where open flame is not permitted, and every candle plan is confirmed with the hotel before load-in.

For large guest counts we build in volume: the same vessel, mechanics, and recipe repeated with consistency, assembled in our studio and installed by a crew sized to the room's turnover window.

Stage, podium, and auction displays

Stage florals frame the honorees and the emcee without blocking the screens or the camera; podium pieces stay low and wide. Silent-auction tables and live-auction lots get small accents that draw guests to the displays without competing with the items. Award presentation moments can take a dedicated arrangement that travels to the photo area afterward.

Budget stewardship for nonprofits

Galas are judged on net proceeds, so we design to a number. Options we routinely offer include tiered centerpieces (statement designs on sponsor tables, simpler designs elsewhere), reusing cocktail-hour pieces inside the ballroom, designing arrangements that can be sold or gifted at evening's end, and scoping florals that a sponsor can underwrite with recognition. The proposal shows each tier so the committee can choose.

Load-in, timing, and the hotel

Hotel ballrooms turn over fast, so we schedule the install around the property's setup window and coordinate with its catering and banquet teams on table placement and timing. Certificates of insurance, candle rules, and freight access are confirmed with the property before the plan is final, and strike happens the same night so the room is ready for the next event. Galas are quoted per scope; our cost guide explains what drives the number. Share your date, guest count, and venue for a complimentary consultation. Frequently asked questions

How far ahead should a gala committee book florals?+
Three to six months is ideal, especially for spring and fall gala season when ballroom weekends fill. We can work on shorter timelines when the scope is defined.
Can you design to a fixed floral budget?+
Yes. We propose tiers, usually statement centerpieces on sponsor tables and simpler designs elsewhere, and show the cost of each so the committee decides where the money goes.
Can guests take the centerpieces home or buy them?+
Yes. We can design arrangements in vessels that are gifted or sold at the end of the night, which some organizations use as an additional fundraising line.
Are candles allowed in hotel ballrooms?+
That depends on the property. We confirm its fire rules before designing and use enclosed flame or LED candles where open flame is not permitted.
Who sets the tables and strikes at the end?+
Our crew installs centerpieces once the banquet team has set the tables and strikes everything the same night on the hotel's schedule.
