Conference and Meeting Florals

Registration to general session to speaker dinner, designed for the room, the camera, and the schedule.

CHIC Flowers designs florals for conferences, summits, incentive programs, and board meetings at luxury hotels and resorts across San Diego, Los Angeles, and Orange County. We cover every touchpoint of a multi-day program: the registration and welcome desk, the general-session stage, breakout rooms, sponsor lounges, and VIP and speaker dinners. Pieces are built in the client's brand palette, sized for sightlines and screens, refreshed between days, and struck the same night the program ends.

Registration and welcome

The registration desk is the first thing attendees see and the backdrop of most of the candid photos, so we treat it as a focal point: a low, wide arrangement that leaves the counter clear for badges and laptops, a tall statement piece beside the signage, or a floral logo wall for a program that wants a photo moment on arrival. Palettes come from the brand guide, not from what is in season, and we match PMS references as closely as fresh product allows.

Welcome receptions and coffee breaks get the same treatment in miniature: bud vases and compact clusters on high-tops and buffet lines that a server can move without rearranging.

General-session stage and lectern

Stage florals have two audiences, the back row of the ballroom and the camera feeding the screens and the recording. We design stage pieces with mass and silhouette that read from forty rows back, keep them below the lectern's sightline and clear of screen edges, and confirm placement with the AV lead during load-in so nothing casts a shadow on the presenter or crowds a camera position. Lectern and panel-table pieces stay low and wide so speakers remain the focus.

Breakouts, lounges, and sponsor spaces

Breakout rooms get restrained pieces that do not compete with presentations: a single arrangement at the entrance and a low piece on the panel table. Sponsor lounges and networking areas take more personality, with coordinated color accents that match each sponsor's brand where the agenda calls for it. VIP and speaker dinners move back to a hospitality register, with centerpieces, candlelight within the property's fire rules, and a palette that connects to the main program.

Multi-day programs: refresh and reuse

For programs running two to five days, we plan the floral schedule alongside the agenda. Stage and registration pieces are designed to last the full run with daily hydration and grooming; dinner centerpieces are rebuilt or refreshed as needed; and pieces migrate between rooms as the agenda shifts, so a general-session arrangement becomes an awards-dinner focal point on the final night. The plan reads as one scope with daily touchpoints, and we staff a crew on site for each refresh.

Working with the hotel's conference services team

We coordinate directly with the property's conference services manager and the AV and production teams on load-in windows, freight access, room turnovers, and strike. Every requirement, from certificates of insurance to candle rules, is confirmed with the property before installation. Programs are quoted per scope; our cost guide covers what drives the number. Frequently asked questions

How far in advance should a conference book florals?+
Four to eight weeks is comfortable for most programs; large general-session installations or exact brand-color matching benefit from more. We can turn smaller scopes faster when the venue schedule allows.
Can stage florals be kept out of the camera shot and off the screens?+
Yes. We design stage pieces to sit below the lectern sightline and outside screen edges, and we confirm final placement with the AV lead during load-in.
Do you refresh florals on a multi-day program?+
Yes. Long-run pieces are hydrated and groomed daily, dinner centerpieces are rebuilt as needed, and arrangements move between rooms as the agenda changes, all on one schedule.
Can you match our brand colors?+
Yes. Send the brand guide or PMS references and we match them as closely as fresh product allows, substituting hardgoods or ribbon where a color does not exist in flowers.
Who handles strike at the end of the program?+
We do. Strike is scheduled with the hotel's conference services team, usually the same night the program ends, so the rooms turn over on time.
