Napa County Fire Department handles fire permit review for most Napa Valley wedding venues, including Meadowood Napa Valley, Auberge du Soleil, Beaulieu Garden, Calistoga Ranch, Stanly Ranch, Solage Calistoga, and most estate and winery venues. A few venues within incorporated city limits (Napa, St. Helena, Calistoga) fall under those city fire departments, which carry slightly different application processes.
Our production team handles permit filing for whichever jurisdiction applies to your specific venue. The process generally takes 4–6 weeks from application to approval, though during fire-restriction season or for unusually complex installations, review can take up to 8 weeks.
Napa County implements seasonal fire restrictions typically starting in late spring (May or June) and lifting in late fall (October or November) depending on annual fire conditions. During restriction periods, outdoor open-flame permits become significantly harder to secure, particularly at hillside venues and properties adjacent to wildland areas.
For couples committed to outdoor havan, we strongly recommend avoiding the core fire-restriction window (July, August, September) at hillside venues like Meadowood and Auberge du Soleil. Valley-floor venues like Beaulieu Garden and Carneros Resort sometimes have more flexible fire-permit pathways even during restriction periods, but the safest timing is outside fire season entirely.
Red-flag warning days (extreme fire danger conditions) can override even approved permits on short notice. We build weather-and-fire contingency into every Napa Valley production plan so a fire-restriction cancellation can pivot to indoor havan or LED-substitute vessel without losing the ceremony date.
Application submission typically includes: detailed ceremony setup drawing showing mandap footprint, agni kund location, and protective flooring layout; fire vessel specifications (brass, copper, or custom); our Certificate of Insurance naming Napa County Fire Authority and the venue as additional insureds; the venue's Certificate of Insurance; and sometimes the pandit's contact information.
Fire marshal review may include an on-site walkthrough. For standard venue setups (the ones we've worked at repeatedly), fire marshal approval is usually documentary. For first-time setups or unusually complex installations, an on-site walkthrough is typical.
Permit fees in Napa County typically run $180–$450 depending on setup complexity. Fire marshal attendance fees, when required, run $500–$1,200. Both are pass-through line items in our production proposal.
If a permit is denied or restricted for your specific venue and date, options include: LED-based havan substitute vessel (accepted by some pandits, rejected by others); moving the ceremony to an indoor space at the same venue where fire permits are more flexible; or rescheduling to a date outside fire-restriction season.
